Appointment Deposits

A $50 booking deposit is required to reserve your appointment. This deposit is applied toward the total cost of your ultrasound experience.

Cancellation & Rescheduling

We understand that life happens and unexpected situations can arise.

If you need to cancel or reschedule your appointment, we kindly ask that you provide at least 24 hours' notice.

No-Show Policy

When an appointment is reserved, that time is held exclusively for your family.

If you do not arrive for your scheduled appointment and have not contacted us to cancel, the full appointment fee will be charged or, if already paid, no refund will be issued.

Late Arrivals

Please arrive on time so we can provide the best possible experience for every family.

Clients arriving more than 10 minutes late may have a shortened session or may need to reschedule if we are unable to complete the appointment without affecting other scheduled appointments.

Refund Policy

Because appointment times are reserved specifically for each family, refunds are generally not available once services have been rendered.

Twins & Multiples Policy

We love meeting twins and multiples!

Due to the additional time required for imaging multiple babies, a multiples upgrade fee applies to all ultrasound sessions involving twins or higher multiples.

Image Quality Disclaimer

Ultrasound image quality varies from pregnancy to pregnancy.

Factors that may affect image quality include:

• Baby's position
• Gestational age
• Placenta location
• Maternal body habitus
• Amniotic fluid levels

While we always strive to obtain the best images possible, image quality cannot be guaranteed.

3D/4D/HD Live Imaging Information

The best time for 3D/4D/HD Live imaging is generally between 24 and 34 weeks of pregnancy.

However, every baby is unique and image quality may vary depending on baby's position and other factors.

Non-Diagnostic Ultrasound Disclaimer

The Woven Nest provides elective prenatal ultrasound experiences for bonding and keepsake purposes only.

Our services do not replace prenatal care, diagnostic ultrasounds, medical evaluations, or recommendations from your healthcare provider.

Clients should already be receiving prenatal care from a licensed healthcare provider prior to scheduling an appointment.

Gender Determination Disclaimer

Gender determination is highly accurate when performed at the appropriate gestational age and when fetal positioning allows visualization. However, gender determination cannot be guaranteed 100%.

Heartbeat Animal Policy

Heartbeat recordings are captured during your ultrasound session and placed inside your selected keepsake animal. Once recordings have been transferred and products have been personalized, heartbeat animals are non-refundable.

Photography & Social Media

With your permission, images from your ultrasound session may occasionally be shared on The Woven Nest's website or social media platforms.

We will never share images without your consent.
